Shot by Stevie Terms & Conditions

In short: A 50% deposit is required to secure your booking, with the remaining 50% due on the day. Cancellations made 7 days or more before the booking receive a full refund. Cancellations made less than 7 days but at least 48 hours before the booking will forfeit the deposit, while cancellations within 48 hours remain liable for the full booking fee. Full details, including date changes, copyright, commercial image use and equipment responsibility, are set out in our Terms & Conditions below.

Last updated: September 2026

These Terms & Conditions apply to services provided by Shot by Stevie (“we”, “us”, “our”) to the person making a booking (“you”, “your”, “the Client” or “the Hirer”).

By making a booking with Shot by Stevie, you confirm that you have read, understood and agreed to these Terms & Conditions.

These Terms & Conditions are divided into:

  1. General Terms & Conditions

  2. Photography Services

  3. Digital Photo Booth Hire

  4. Audio Guestbook Hire

  5. General Legal Provisions

1. General Terms & Conditions

1.1 Booking and payment

1.1 A booking is confirmed once Shot by Stevie has received a 50% deposit and confirmed the booking in writing.

1.2 The remaining 50% balance is due on the day of the booking or event, unless otherwise agreed in writing.

1.3 Prices are those quoted at the time of booking. Any additional services, products, time or expenses requested after booking may be charged separately at the applicable rate.

1.2 Cancellation by the Client

If you need to cancel your booking, you must notify Shot by Stevie in writing as soon as possible.

Our standard cancellation arrangements are:

  • 7 days or more before the booking: all payments made will be refunded.

  • Less than 7 days but at least 48 hours before the booking: the 50% deposit will be retained and any additional amount already paid will be refunded.

  • Less than 48 hours before the booking: the full booking fee remains payable.

These charges reflect the time reserved for your booking, preparation undertaken, equipment or resources allocated and the difficulty of replacing a booking at short notice.

Where reasonably possible, Shot by Stevie will take steps to minimise any loss caused by a cancellation, including attempting to rebook the date where appropriate.

Nothing in these Terms & Conditions affects your statutory rights.

1.3 Changing a booking date

Where circumstances change, you may request to move your booking to an alternative date, subject to our availability.

Requests to change a date must be made at least 7 days before the original booking date.

The replacement date must be within three months either side of the original booking date, subject to availability.

A date change is not confirmed until the alternative date has been agreed by Shot by Stevie in writing.

If we cannot accommodate your requested alternative date, the booking will be treated as a cancellation under Section 1.2.

2. Photography Services

2.1 Photography services

Shot by Stevie provides photography services including, but not limited to, weddings, events, sports, portraits and commercial photography.

The exact services included in your booking will be confirmed at the time of booking.

We will provide the agreed photography services with reasonable care and skill.

2.2 Creative discretion

Photography is a creative service and Shot by Stevie retains artistic and creative discretion over:

  • composition;

  • posing;

  • image selection;

  • colour grading;

  • editing;

  • cropping;

  • image sequencing; and

  • the overall finished appearance of the photographs.

Our portfolio and previous work should be considered representative of our photography and editing style.

We cannot guarantee that every requested photograph, person, moment or image will be captured.

Factors outside our control may affect the final photographs, including weather, lighting, venue restrictions, guest behaviour, timings, cooperation of subjects and unforeseen circumstances.

2.3 Image selection and editing

Unless otherwise agreed, Shot by Stevie will make the final selection of images supplied to the Client.

We do not guarantee that every photograph taken during a session or event will be delivered.

Images may be excluded from the final gallery where they are technically unsuitable, duplicated, contain accidental or private moments, or otherwise do not meet our professional standards.

RAW or unedited files are not included unless specifically agreed in writing.

Requests for substantial re-editing or alterations outside our normal editing style may incur an additional fee.

2.4 Photography delivery

Shot by Stevie aims to deliver the final edited photographs within 7 working days of the photography booking.

This is the maximum standard delivery period we aim to provide, unless otherwise agreed in writing.

Where circumstances outside our reasonable control cause a delay, we will keep you informed and deliver the photographs as soon as reasonably possible.

Photographs will normally be delivered digitally via an online gallery or another agreed digital delivery method.

2.5 Copyright ownership

Copyright in all photographs created by Shot by Stevie remains the property of Shot by Stevie, unless a separate written agreement expressly transfers copyright ownership.

Under UK copyright law, photographs are generally protected as artistic works and copyright normally belongs to the creator unless the rights have been transferred or another arrangement applies.

Payment for photography services does not, by itself, transfer copyright ownership to the Client.

2.6 Personal-use licence

Once all amounts due have been paid, the Client is granted a non-exclusive licence to use the delivered photographs for personal, non-commercial purposes.

This includes:

  • printing photographs for personal use;

  • sharing photographs with friends and family;

  • displaying photographs in the home;

  • sharing photographs on personal social media accounts; and

  • making reasonable personal copies of the photographs.

The Client must not sell, licence, commercially exploit or otherwise use the photographs for commercial purposes unless commercial use has been agreed under Section 2.7.

2.7 Commercial-use licence

Where photographs are commissioned for a business, organisation, club, brand or other commercial purpose, Shot by Stevie grants the Client a commercial-use licence.

The permitted commercial use will be agreed in writing before or as part of the booking and may include use for:

  • websites;

  • social media;

  • advertising;

  • marketing;

  • promotional materials;

  • press and publicity;

  • editorial use;

  • printed materials; or

  • other agreed commercial purposes.

The commercial-use licence does not transfer copyright ownership unless this is expressly agreed in writing.

The scope of the commercial licence will be based on the intended use disclosed by the Client at the time of booking. Any substantially different or additional use may require further permission or an additional licence fee.

Where a commercial licence has been agreed, the Client may use the photographs for the agreed commercial purposes without needing to request further permission for each individual use.

2.8 Alteration of photographs

The Client must not substantially alter, manipulate or edit photographs in a way that materially changes the intended appearance of the finished work without prior written permission from Shot by Stevie.

This does not prevent reasonable cropping or resizing for normal online or printed use.

2.9 Photographer's promotional use

Shot by Stevie may wish to use photographs created during a booking for our portfolio, website, social media, advertising, competitions, exhibitions and other promotional purposes.

We will only use identifiable photographs for promotional purposes where we have an appropriate lawful basis to do so.

If you do not want your photographs used for Shot by Stevie's promotional purposes, please let us know in writing before the booking.

For events involving children or individuals who may not be able to provide consent themselves, the relevant parent, guardian or responsible person should notify us of any restrictions.

2.10 Venue and event restrictions

The Client is responsible for informing Shot by Stevie of any venue rules, photography restrictions, access limitations or other circumstances that may affect the photography service.

We will comply with reasonable venue and event restrictions.

We cannot be held responsible for photographs that cannot be captured because of restrictions imposed by a venue, event organiser or other third party.

2.11 Photographer illness or emergency

Shot by Stevie will make every reasonable effort to attend and complete a booking.

In the unlikely event that we are unable to provide the service because of serious illness, injury, emergency or another circumstance outside our reasonable control, we will make reasonable efforts to arrange a suitable replacement photographer where appropriate.

If a suitable replacement cannot be arranged, the Client will receive a refund of payments made for the photography service that cannot be provided.

We will not be responsible for indirect or consequential losses, such as venue costs, accommodation, travel expenses or other third-party costs, except where liability cannot legally be excluded or limited.

2.12 Image storage

Shot by Stevie will take reasonable precautions to protect and retain your photographs.

We recommend that Clients download and securely store their photographs once they have been delivered.

We may retain copies of photographs for a reasonable period following delivery, but cannot guarantee permanent storage or recovery of files indefinitely.

3. Digital Photo Booth Hire

3.1 Photo Booth booking

The Digital Photo Booth (“the Photo Booth”) is provided for the hire period agreed at the time of booking.

The Photo Booth may include photographs, GIFs, boomerangs and other digital content depending on the package booked.

3.2 Setup and collection

Shot by Stevie requires approximately 30 minutes before and 30 minutes after the agreed hire period for setup and collection.

The Photo Booth hire period refers to the period during which the Photo Booth is intended to be available for use by guests.

We will make reasonable efforts to ensure the Photo Booth is ready for the agreed start time.

3.3 Venue access

The Hirer must provide accurate information about the venue when booking.

You must tell us in advance about any circumstances that could affect delivery, setup or collection, including:

  • stairs;

  • lifts;

  • restricted or difficult access;

  • long distances between parking and the venue;

  • difficult loading areas;

  • narrow entrances;

  • unusual access arrangements;

  • parking restrictions or charges; and

  • any other relevant access requirements.

Where previously undisclosed access arrangements result in significant additional time, labour, parking or transport costs, Shot by Stevie reserves the right to charge a reasonable additional fee.

Where reasonably possible, we will discuss any such additional charge with you before it is incurred.

3.4 Space and power

The Hirer is responsible for providing a suitable, safe and accessible area for the Photo Booth.

Suitable electrical power must be available where required.

The Photo Booth must not be moved by the Hirer or guests unless expressly authorised by Shot by Stevie.

3.5 Guest behaviour

The Hirer is responsible for the behaviour of guests using the Photo Booth.

Guests must use the Photo Booth and associated equipment responsibly.

Shot by Stevie reserves the right to stop use of the Photo Booth where equipment is being misused, deliberately interfered with, damaged or used in an unsafe manner.

We will not be responsible for interruptions caused by guests, venue staff or other third parties.

3.6 Damage or loss

The Hirer is responsible for loss of or damage to the Photo Booth or associated equipment caused by the Hirer or their guests, except where the damage results from our negligence or normal reasonable wear and tear.

Where equipment is damaged or lost, Shot by Stevie may charge the reasonable cost of repair or replacement.

Any repair or replacement charge will be based on the reasonable cost of rectifying the damage or replacing the affected equipment.

3.7 Digital content

Digital photographs, GIFs, boomerangs and other content will normally be delivered to guests using the method advertised or agreed at the time of booking.

Successful delivery may depend on mobile phone reception, internet connectivity or third-party services.

Shot by Stevie cannot guarantee that every guest will successfully receive every item of digital content where technical issues outside our reasonable control prevent delivery.

3.8 Guest-created content

Guests are responsible for the content they create using the Photo Booth.

Guests must not knowingly use the Photo Booth to create unlawful, abusive, threatening, discriminatory or otherwise inappropriate content.

Shot by Stevie reserves the right to refuse to provide or distribute content where we reasonably believe doing so could expose Shot by Stevie to legal or reputational harm.

3.9 Equipment failure

We use reasonable care to maintain and test Photo Booth equipment.

If the Photo Booth experiences technical problems, we will make reasonable efforts to repair or restore the service.

If we are unable to provide the Photo Booth service for a substantial part of the agreed hire period because of an issue within our reasonable control, we will offer an appropriate partial or full refund depending on the circumstances.

4. Audio Guestbook Hire

4.1 Audio Guestbook booking

The Audio Guestbook (“the Audio Guestbook”) is provided for the hire period agreed at the time of booking.

The service allows guests to leave audio messages which are subsequently provided to the Hirer digitally.

4.2 Setup and collection

Shot by Stevie requires approximately 30 minutes before and 30 minutes after the agreed hire period for setup and collection.

We will make reasonable efforts to ensure the Audio Guestbook is ready for the agreed start time.

4.3 Venue access

The Hirer must provide accurate information about the venue when booking.

You must tell us in advance about:

  • stairs;

  • lifts;

  • restricted or difficult access;

  • long distances between parking and the venue;

  • difficult loading areas;

  • narrow entrances;

  • unusual access arrangements;

4.4 Use of the Audio Guestbook

The Audio Guestbook is provided for use by the Hirer and their guests during the agreed hire period.

Guests must not attempt to dismantle, move, modify or interfere with the Audio Guestbook equipment.

Shot by Stevie may stop use of the equipment where it is being misused, damaged or used in an unsafe manner.

4.5 Damage or loss

The Hirer is responsible for loss of or damage to the Audio Guestbook or associated equipment caused by the Hirer or their guests, except where the damage results from our negligence or normal reasonable wear and tear.

Where equipment is damaged or lost, Shot by Stevie may charge the reasonable cost of repair or replacement.

Any repair or replacement charge will be based on the reasonable cost of rectifying the damage or replacing the affected equipment.

4.6 Audio recordings

Guests create their own audio recordings using the Audio Guestbook.

The Hirer is responsible for informing guests that their messages will be recorded and retained as part of the Audio Guestbook service.

Guests should not record unlawful, threatening, abusive, discriminatory or otherwise inappropriate material.

Shot by Stevie is not responsible for the content of recordings made by guests.

We reserve the right not to provide or distribute recordings where we reasonably believe doing so could expose Shot by Stevie to legal or reputational harm.

4.7 Delivery and storage of recordings

Following the event, Shot by Stevie will process the recordings and provide them to the Hirer using the agreed digital delivery method.

We will make reasonable efforts to preserve and deliver successfully recorded messages.

We cannot guarantee recovery of a recording where the equipment fails to record it, a recording becomes corrupted, equipment is damaged or another technical failure occurs.

Recordings will be retained for a reasonable period following delivery and may subsequently be deleted.

We recommend that the Hirer downloads and securely stores all recordings once they have been delivered.

4.8 Privacy and personal data

Audio recordings may contain personal information and the voices of identifiable individuals.

The Hirer is responsible for informing guests that recordings are being made and that the recordings will be provided to the Hirer.

Shot by Stevie will process and retain recordings only for purposes connected with providing the Audio Guestbook service and in accordance with applicable UK data protection legislation.
